Accounts Payable Clerk

Accounting Now Jacksonville, FL (Onsite) Full-Time
The Accounts Payable Clerk is responsible for managing the company's expenses by ensuring that vendor invoices are accurate and expenses are coded correctly
The ideal candidate will be proficient in utilizing various software programs, with an emphasis on precision and timely processing
Responsibilities Include:
  • Answer phone calls and manage email correspondence, including sending and receiving messages
  • Verify the accuracy of vendor invoices
  • Accurately code and enter vendor invoices in a timely fashion
  • Assist in conducting weekly vendor check runs
  • Handle filing and research tasks as needed
  • Prepare weekly fuel reports for Fleet 1
  • Update the accounts payable manual ledger spreadsheet regularly
  • Address inquiries from both vendors and colleagues via email
  • Review vendor statements to identify any missing invoices
  • Help maintain physical and electronic files for DOT Truck Maintenance records
  • Provide support to the Senior Clerk by:
    • Calculating weekly driver pay sheets for payroll purposes
    • Managing the Petty Cash box and performing monthly reconciliations
    • Utilizing Encompass software to enter fuel data, upload DOT invoices, generate reports, and update equipment lists
    • Assisting with monthly accounts payable closing procedures
    • Completing other miscellaneous tasks as assigned by management or the Senior Clerk

Requirements:
  • 2 - 4 years of experience in Accounts Payable
  • Familiarity with Accounts Payable processes and procedures
  • Solid understanding of accounting principles and procedures
  • Experience with Sage 100 and knowledge of the transportation industry is a plus
  • Proficient in computer use, strong typing skills, and email communication
  • Intermediate skills in Word and Excel
  • Strong attention to detail with a commitment to accuracy and efficiency
  • Professional demeanor with the ability to collaborate effectively with others
  • Commitment to ethical practices when handling sensitive financial data
  • Willingness to adhere to all company policies as well as local, state, and federal regulations
  • Capable of multitasking, staying organized, maintaining focus, and meeting deadlines
