The Accounting Assistant will play a critical role in managing the company's outstanding accounts receivable and ensuring timely and efficient collections. The ideal candidate will have prior experience in a similar role, possess excellent communication skills, a strong attention to detail, and the ability to build positive relationships with customers and partners both in the US and in Europe.
Experience with NetSuite and QuickBooks prefer
Reporting:
- Provide weekly reports on account status, aging reports, and collection progress.
- Track and report on key performance indicators (KPIs) such as days sales outstanding (DSO) and collection rates.
- Work with various departments, such as finance, sales, and customer success, to identify trends and potential issues.
- Assist in the development of strategies to reduce overdue accounts.
- Train staff on collections processes when needed
- Work with customers, partners and team members to ensure a smooth collection process, which may include researching customer transaction history, updating invoice details and providing proper documentations.
- Maintain professional and positive relationships with clients, even in challenging situations.
- Maintain accurate records of all communication with customers, including payment histories, promises, and agreements.
- Update the accounts receivable system(s) with payment status, notes, and any new collection efforts.
- Address and resolve customer complaints or disputes related to overdue accounts.
- Investigate discrepancies or issues regarding invoices and credit memos.
- Work with other departments (such as billing or customer success) to resolve complex cases..
