Facilities Administrator
Essential Duties and Responsibilities

  • Must have previous experience in one or more building trade and general construction practices
  • Inspect buildings' structures to help determine the need for repairs or renovations
  • Manage the upkeep of equipment to meet health and safety standards and coordinating contractor repairs
  • Maintain inventory of site specific turn over documents and drawings
  • Ensure compliance with all safety and security protocols
  • Manage vehicle fleet, including:
    • Review incident reports related to accidents and file insurance claims; Process all applications for renewals for registration and insurance for all vehicles and titles; maintain files for registration and insurance information for all vehicles. Maintain and administer Preventative Maintenance schedule for all vehicles; Arrange roadside assistance and towing if needed. Assist with conducting annual inspections
  • Provide support to Director of Facilities related to the bidding and contracting of portfolio-wide service contracts and capital improvement contracts.
  • Develop and manage relationships with Property Staff members and Commercial Clients.
  • Coordinate with the Director of Facilities and Sustainability on the implementation of property improvement projects
  • Assist Director of Facilities and Sustainability in providing standardization of critical building information by site
  • Provide Administrative assistance with document preparation

Minimum Qualifications

  • Ability to read prints and schematics
  • 5 years prior experience in one or more building trades
  • Strong understanding of general construction practices
  • Experience in commercial properties
  • Basic knowledge of health and safety regulations
  • Demonstrated leadership skills
  • Strong verbal and written communication skills
  • Must possess a valid driver's license, acceptable driving record, access to a vehicle for use in site visits, and the state-mandated level of auto insurance.
  • Must be available throughout the work day by cell phone
