The bookkeeper will work directly under the supervision of the Rector with additional oversight from the Treasurer. The bookkeeper will work in cooperation with the Assistant Treasurer, the Office Assistant, the Wardens of the parish, and other church staff and volunteers.

Job duties include but are not limited to:
  • Post weekly offering and other cash receipts to QuickBooks (QB) to agree with PowerChurch Software (PCS) summaries.
  • Process outside vendor check requests.
  • Review submitted bills for proper authorization and account# assignment. Inform Treasurer of any issues noted.
  • Review bill to ensure the vendor is not charging sales tax. Follow up with vendor and submit the proper forms necessary with them. Training in this area will be provided.
  • Review bill for labor charges to ensure that a Form W-9 has been provided and is in our files and also that the TIN is recorded in QB for Form 1099 processing at year end. Note on approval stamp whether review was done or is N/A.
  • Review cash balance in the account before paying bills.
  • Compare weekly deposit Summary (Sunday Counter's sheet) to supporting envelopes and checks received. Note any changes for Treasurer's review.
  • Input contributions from parishioners to the appropriate fund in the PCS.
  • Process properly approved reimbursement check requests.
  • File Sunday counter sheets with deposit receipt attached.
  • Provide to the Treasurer checks written for signature along with all necessary supporting documentation including stamped approval for review steps taken.
  • File processed bills after the Treasurer signs off.
  • Submit payroll and verify the accuracy of the QB entry.
