OVERALL JOB PURPOSE/OBJECTIVE:

The Front Desk Coordinator presents the first impression of the organization and is responsible for a variety of clerical duties, as well as the professional and efficient managing of visitors.

JOB RESPONSIBILITIES:

Essential Responsibilities include the following:

  • Open office at 8:45 am every day
  • Meet, greet and assist visitors in a professional manner
  • Maintain visitor log-in sheets, and other daily log in sheets as required
  • Support staff member needs with communications with any persons arriving to the office
  • Communicate professionally with all staff members
  • Maintain a pleasant appearance of the reception area, lobby, and main conference room
  • Accept and sign for special delivery packages (e.g., FedEx, UPS, various courier services, etc.). Ensure delivery confirmation is accurate; maintain log of all packages received. Once packages are logged, communicate to the recipient immediately.
  • Sort mail by department; place in mail cart for distribution
  • Support Office Administrator in maintaining/operating postage meter. Complete postage for outgoing business mail.
  • Organize and execute Customs documentation and shipping documentation for international shipments; prepare domestic shipping documentation.
  • Distribute parking passes and maintain current parking register online.
  • Maintain current phone list
  • Support Legal Operations Manager with light administrative tasks
  • Other office duties as assigned

Other duties and special projects may be assigned as needed.

REQUIRED QUALIFICATIONS:

  • High School Diploma
  • At least 1 year of experience working in an office environment
  • Proficient in Microsoft Word and Excel
  • Bilingual (English/Spanish)
  • Professional, friendly demeanor required

DESIRED QUALIFICATIONS:

  • Experience with email, Google Docs, and Calendar scheduling strongly preferred
  • Knowledge of general administrative and clerical procedures
  • Excellent attention to detail required
  • Ability to handle a high volume of tasks and multitask
  • Superb organizational skills
  • Excellent written and verbal communication skills
