Immediate opening for an Accounting Assistant/Payroll

Job Description:

  • Process non-trade accounts payable - match vendor invoices to delivery receipts and purchase orders, confirm pricing if available, assign G/L expense accounts and due dates. Record certain costs on warehouse receiving sheets. Verify monthly vendor statements. Verify freight billings with shipments and receipts. Processing A/P may involve follow-up with purchasing/maintenance people to verify certain invoices.
  • Record warehouse parts/supplies receiving/issuing in Access database. Reconcile monthly to reports and G/L.
  • Process accounts receivable - retrieve incoming cash receipts from bank, record cash receipts and adjustments, follow-up with collection calls. Report certain settlements and sales adjustments to the appropriate people. Report accounts receivable aging status on a weekly basis.
  • Payroll/Personnel - using ADP Time & Attendance, process weekly payroll on Monday's (or next business day if Monday is a holiday), make necessary payroll changes, approve time cards and submit to ADP, record payroll in monthly spreadsheets, maintain attendance record, maintain personnel records. Assist with HR tasks. Confidentiality is of high importance.
  • Maintain uniform records. Provide changes to uniform company. Monitor cost changes and adjust payroll deductions as necessary.
  • Maintain records for reimbursement of boots and warm clothing allowances.
  • Answer phone and direct calls to the appropriate people.
