Job Description


Full Charge Bookkeeper, reporting to the owner
Pays $35K to $60K
8:30am -5:00pm, Monday to Friday in Ludlow

The primary function of this position is to perform the billing, bookkeeping and accounting functions of the law firm. This position requires an experienced and accomplished person with a strong bookkeeping and computer background.
The position requires skills and experience in bookkeeping, accounting, law firm billing, Quick Books Pro Online, Clio (law firm management software), and E-Closing (real estate closing software), as well as Microsoft Office Products.
The position requires successful experience in a law or other professional service firm environment.
Primary Duties and Responsibilities:

  • Management of accounts receivable and accounts payable
  • Payroll processing and journal entries
  • Monthly bank reconciliation of corporate,client, and IOLTA trust accounts and credit card expense statements
  • Management and daily oversight of online banking
  • Communicate with clients, vendors,attorneys and staff to resolve financial issues as they arise
  • Enter all new client information/matters into Quick Books
  • Manage and review cash accounts for accuracy, track and ensure proper placement in Trust Accounts
  • Process all monies received for client billings, real estate transactions and other miscellaneous items
  • Enter real estate checks issued from client funds through E-Closing into Quick Books client trust accounts
  • Review and enter all vendor invoices received including credit card charge statement
  • Manage and maintain recurring expenses in Quick Books
  • Track client third party vendor charges, and enter into individual client account in Clio Software
  • Manage and issue vendor payments on a weekly basis
  • Issue quarterly tax payments to government agencies
  • Process bi-weekly payroll, create journal entries in Excel and enter into Quick Books
  • Create monthly client invoices through Clio Software
  • Review client trust funds, issue checks to firm and apply payment to invoices
  • Review and print monthly Client Statements and mail
  • Create weekly and monthly financial reports from Quick Books and Clio for Principal Owner review
  • Create semi-monthly income/expense report for bonus calculations
  • Weekly update of income/expense calendar using activities from Clio and expenses from Quick Books
  • Create year-end information and coordinate with firm's accountant
  • Enter year-end journal entries as prepared by tax accountants into Quick Books
  • Determine 1099-Misc vendors.Review for pertinent information. Create forms and mail.
  • From E-closing print 1099-Submission, review for errors and file online to IRS


Additional Duties and Responsibilities:

  • Client reception and answering phones
  • Coordinate ordering of office supplies
  • Coordinate service providers for office needs



Qualifications, Competencies and Skills

  • Associate Degree or five years of experience in a busy law firm or other professional service oriented environment
  • Possess the utmost discretion and confidentiality regarding sensitive client, employee and company information
  • A critical thinker with strong reasoning ability
  • Excellent analytical, problem solving, organizational and multi-tasking skills
  • Candidates must possess strong written and verbal interpersonal skills along with a friendly and professional demeanor
  • Must be able to coordinate resources and responsibilities and be able to get along well with others
  • Strong work ethic and professional appearance and manner
