Executive Assistant

Our client in Boston, MA is seeking an Executive Assistant to join their team. In this contract role, you will report to the Vice President of Network Development and will provide administrative support to ensure the efficient and effective day- to-day functioning of their respective administrative areas. Responsibilities for the Executive Assistant:

  • Manage executive schedules, including the planning and timely notification of meetings and appointments
  • Support and set up individual, small group, and committee/working group/task force meetings
  • Ensure efficient and effective day-to-day functioning of activities within their respective areas and their direct reports
  • Provide customer friendly support to answer questions and resolve issues in accordance with appropriate policies and procedures
  • Provide administrative support and act as payroll timekeeper for those units
  • Responsible for supply ordering and utilization
  • Handle confidential matters with the utmost discretion
  • Track, enter and report department employees' weekly hours through Kronos; maintain department schedule for vacations and summer hours program
  • Prepare and track expense reports for VPs and other executive(s) supported
  • Organize and manage office supplies and equipment; ensures all equipment is in working order and arranges for repairs
  • Process and track purchase orders, invoices, check requests, reimbursements, petty cash vouchers, and other transactions
  • Assist in the preparation for new employee arrivals, including office/cube preparation, IDs, security, computer set-up; manages scheduling for new hire orientation program
  • Assist with correspondence, filing, telephone coverage, routing routine mail and other administrative activities
  • Serve as a central departmental troubleshooting resource on IT related issues
  • Provide back-up coverage for other senior executives within company's administration

Requirements for the Executive Assistant:

  • Associate' s degree or related experience required, Bachelor' s degree preferred
  • 3-5 years' experience involving complex calendar management and the support of senior management in a large, complex, matrix organization
  • Experience supporting multiple senior executives preferred
  • Proficient with Microsoft PowerPoint, Word, Excel, and other MS Office software
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
